North Highland Initiative (NHI) is a charity dedicated to strengthening the economic, social and environmental resilience of the North Highlands. Working with communities, businesses and public bodies, NHI delivers programmes that support sustainable rural development, agriculture, enterprise and community wellbeing.

The Role

We are seeking a highly organised and proactive Charity & Business Administrator to support the effective delivery of NHI’s programmes and governance activities. This role provides administrative and project coordination support across the organisation, including grant management, agricultural projects, board administration and stakeholder communication.

This is a part-time position (16-20 hours per week) on an 18-month fixed term contract, mostly based in our Wick office, with flexible working arrangements available.

Key Responsibilities

Grant Funding Administration

  • Manage NHI’s Community Support Programmes grant applications and awards
  • Maintain and update the Community Support Programme databases
  • Prepare grant award correspondence and maintain accurate grant records
  • Gather and review end-of-project reports for all Community Support Programme awards, ensuring timely submission and accurate records

Livestock Administration

  • Provide administrative support to the NHP Farm Cluster Project, including the co-ordination of meetings for the farmer cluster groups and applications for grant awards.
  • Maintain livestock databases, including the recording of weekly cattle and quarterly lamb reports
  • Support communications between suppliers and producers
  • Board & Governance Support
  • Coordinate 4-6 board meetings annually (scheduling, logistics and venues) and board sub-committee meetings as required
  • Prepare and distribute agendas and papers in advance of all meetings
  • Produce accurate formal meeting minutes and maintain action logs, tracking key action items and owners
  • Provide administrative support to Board members

General Administration

  • Manage the organisation’s info@ inbox, ensuring timely and professional responses
  • Maintain CRM systems for NHI and NHP stakeholders
  • Provide flexible administrative support across the organisation
  • Undertake additional reasonable duties as required

Person Specification

The successful candidate will demonstrate:

  • Excellent organisational skills and strong attention to detail
  • Experience in administrative or business support roles
  • Confidence using databases, spreadsheets and CRM systems
  • Experience supporting meetings and producing accurate minutes
  • Strong written and verbal communication skills
  • Professionalism and discretion when handling confidential information
  • A proactive, flexible and collaborative approach
  • Experience in rural, agricultural, charity or community-focused environments (desirable)
